Abstract Submission and Acceptance

How can I submit an abstract?

Abstracts should be submitted through the official abstract submission portal on the conference website.

Prepare your abstract according to the provided template and submission guidelines before uploading it.

Is there an abstract template?

Yes. The abstract template is available through the abstract submission page.

Using the official template helps ensure that all required information is included and reduces delays during review.

What information should my abstract contain?

The abstract should normally include:

  • Presentation title
  • Author and co-author names
  • Institutional affiliations
  • Background or introduction
  • Objectives
  • Methods
  • Results or expected outcomes
  • Conclusion
  • Keywords

The final structure should follow the official abstract template.

Can I submit more than one abstract?

Yes. An author may submit more than one abstract.

Acceptance of multiple presentations depends on scientific review, available program space and scheduling. A participant will not normally be scheduled for more than two presentations unless approved by the organizing team.

Can a co-author submit or present the abstract?

Yes. A co-author may submit or present the work, provided the presenting author’s details are confirmed with the Conference Secretariat.

The presenting author must complete the appropriate registration.

How long does abstract review take?

Abstract decisions are generally communicated within two to four business days after submission.

Additional time may be required when revisions, missing information or further scientific review are necessary.

What happens after my abstract is accepted?

After acceptance, the presenting author should:

  • Review the acceptance letter carefully.
  • Complete presenter registration within the stated deadline.
  • Confirm whether the presentation will be in person or virtual.
  • Follow the applicable oral or poster presentation guidelines.
  • Submit presentation materials by the requested deadline.

Abstract acceptance alone does not confirm placement in the final program. Presenter registration and required confirmations must also be completed.

Can I make changes after submitting my abstract?

Minor corrections may be requested before the abstract book and final program are prepared.

Send the revised abstract and clearly identify the changes. Requests received after the publication deadline may not be accommodated.

Will full papers be published?

Unless a separate publication opportunity is specifically announced, participants are generally required to submit an abstract rather than a full paper.

Any journal, proceedings or publication opportunity will have separate submission, review and publication requirements.

Can I withdraw an accepted abstract?

Yes. Withdrawal requests must be submitted in writing by the submitting or presenting author.

The request should include the abstract title, author’s name and reason for withdrawal. Registration cancellation is handled separately under the cancellation policy.

Oral and Poster Presentations

How much time is provided for an oral presentation?

Oral presenters are generally allocated approximately 20–25 minutes, including introduction and questions.

The exact duration will be stated in the final conference program. Presenters should prepare a slightly shorter talk to allow sufficient time for discussion and speaker transition.

What presentation format should oral speakers use?

Presentation slides should normally be prepared in Microsoft PowerPoint or PDF format.

Use a clear layout, readable fonts and suitable image resolution. Avoid placing confidential, copyrighted or unpublished information in the presentation unless you have permission to share it.

When should speakers submit their presentation slides?

Speakers should submit their final slides according to the deadline communicated by the Conference Secretariat.

In-person presenters should also carry a backup copy on a USB drive. Virtual presenters should keep the presentation open and ready on the device they will use during the session.

Can I use my own laptop at the venue?

The use of the conference laptop is recommended to avoid delays between presentations.

Personal laptops may be permitted when necessary, subject to compatibility and technical approval. Inform the Conference Secretariat in advance when special software, video, audio or equipment is required.

What are the poster presentation requirements?

Poster presenters should prepare their posters according to the dimensions and format stated in the latest poster guidelines.

Poster numbers, display locations and session times will be provided in the final program or at the registration desk.

Presenters should remain near their posters during the assigned poster session to discuss their work with attendees.

Is poster printing available at the venue?

On-site poster printing is not normally provided by the conference organizer.

Presenters should arrange printing in advance and bring the completed poster to the venue.

Can I send a recorded presentation?

Recorded presentations may be accepted in exceptional circumstances and only with prior approval.

Submitting a recording does not automatically guarantee inclusion in the live scientific program. Contact the Conference Secretariat before preparing or sending a recorded presentation.

Virtual Participation

How will virtual participants join the conference?

Registered virtual participants will receive online access instructions by email before the event.

The access information is intended only for the registered participant and should not be shared with others.

What equipment is required for virtual participation?

Virtual participants should have:

  • A computer or suitable mobile device
  • A stable internet connection
  • A microphone
  • Speakers or headphones
  • A webcam, where required
  • The latest supported version of Zoom

Presenters should preferably use a computer rather than a mobile phone.

Will there be a technical test before the conference?

Technical instructions or a test session may be arranged for virtual presenters.

Presenters should follow the instructions sent by the Conference Secretariat and join the conference platform at least 20–30 minutes before their scheduled presentation.

What should I do if I experience technical problems?

First, check your internet connection, audio settings and meeting-platform permissions.

If the issue continues, contact the technical support details provided with your virtual access instructions. Participants are encouraged to use a stable wired or high-quality Wi-Fi connection and keep a backup device available where possible.

Will virtual sessions be recorded?

Sessions may be recorded for operational, archival or post-event purposes where announced.

Participants should not independently record, reproduce or distribute presentations without permission from the organizer and the respective presenter.

Can virtual participants ask questions?

Will the organizer reimburse costs if my visa is refused?

Visa refusal does not automatically qualify for a refund.

Any cancellation, transfer or refund request following a visa refusal will be reviewed according to the conference cancellation policy. Participants should apply early and avoid making non-refundable travel arrangements before receiving the necessary travel authorization.

Can the organizer provide financial sponsorship for my travel?

No. Participants are responsible for their registration fees, visa charges, flights, accommodation, insurance and other personal expenses.
